Conference and meeting registration services
Planning a conference or event can be a big job—we’re here to help make it easier. UC Santa Cruz Conference Services offers professional registration support to simplify and streamline the administrative side of your program. Whether you’re hosting a summer residential conference or a year-round commuter event, we can manage the entire registration process so you can focus on your program’s success.
Basic Registration Services
$15.00 per participant–commuters included
Note: Clients are responsible for making housing assignments when using the Basic Registration Services package.
This package includes everything you need to get your participants registered and keep things organized:
- A customized online registration page tailored to your event
- A direct registration link for your conference website
- Collection of individual registrations and payments
- Set-up of a UCSC account to securely deposit registration fees
- Automatic email confirmations and payment receipts
- Prompt responses to participant registration questions
- Registration database maintenance
- Weekly registration reports sent to you
Note: Clients are responsible for making housing assignments when using the Basic Registration Services package.
Registration + Lodging Services
$25.00 per participant–summer campus lodging
$35.00 per participant–year-round hotel lodging
Note: Commuters are included in both rates.
Let us take care of registration and accommodations. This package includes all Basic Registration Services plus:
- Summer campus housing assignment management
- Year-round hotel room block coordination
- Participant communications for both registration and lodging
Additional registration fees
These fees may apply to any registration service package:
- Website setup and maintenance: $500–$1500 (based on complexity)
- Transaction fee: 4.0% per transaction (includes refunds and cancellations)
- Cancellation fee: $50.00 (if canceled within 2 weeks of the event)
- Late registration fee: $50.00 (for registrations within 2 weeks of the event)
- Additional services not listed: $50.00/hour
